Inviting Team Members

Owners and Admins can invite new members to the workspace. The invitee receives an email with a secure link to accept the invitation. The invitation is valid for 7 days.

Sending an invitation

Go to Settings → Members

Open the main workspace sidebar, expand Master Settings, and click Members.

Click Invite Members

Click the Invite Members button in the top-right corner of the Team Members panel.

Enter the email address

Type the colleague's email address. If they already have an AIChatVault account it will be linked to your workspace; if not, they'll be prompted to create one.

Choose a role

Select Admin (can manage settings) or Member (can use agents). You cannot invite someone directly as Owner.

Send Invitation

Click Send Invitation. An email is sent immediately with a secure accept link.

What the invitee sees

  • If they already have an AIChatVault account and are logged in — clicking the link immediately joins them to your workspace.
  • If they have an existing account but are not logged in — they are redirected to log in first, then accepted automatically.
  • If they don't have an account yet — they are redirected to the registration page with their email pre-filled and joined to your workspace upon sign-up.

Pending invitations

While an invitation has been sent but not yet accepted, it appears in the Pending Invitations section below the members list. Each pending row shows:

  • The invitee's email address.
  • The role they were invited as.
  • Who sent the invitation and when.

To withdraw an invitation before it is accepted, click Cancel on the pending row. The invite link immediately becomes invalid and the slot is freed.

Invitation expiry

Invitations expire after 7 days. If the invitee clicks the link after expiry they'll see an error message asking them to request a new invitation. To resend, cancel the expired invitation (if it still appears) and send a new one.

Plan limit enforcement

The system checks your plan's max_team_members limit before allowing a new invitation. The check counts both existing members and pending invitations. If the combined total equals or exceeds your limit, you'll see an error and must upgrade before adding more people.

💡
If you need to replace a member (e.g. a contractor left), remove them first to free up their slot, then invite the replacement.
