Roles & Permissions

AIChatVault has three roles: Owner, Admin, and Member. Each role controls what a user can see and do in the workspace.

Changing a member's role

Go to Settings → Members

Open Master Settings → Members.

Find the member

Use the search bar to filter by name or email if needed.

Click the role badge

Click the grey role badge (e.g. "member") next to their name to open the role dropdown.

Select the new role

Choose Admin or Member. The change is applied immediately.

Rules and restrictions

  • You cannot change your own role.
  • The Owner's role badge is not clickable — the owner role cannot be changed via the role dropdown.
  • Only the Owner can promote someone to Owner (ownership transfer).
  • You cannot remove yourself from the workspace.
  • The Owner cannot be removed by anyone.
  • When a member is removed, they immediately lose all access to the workspace and its agents.

Transferring ownership

To make another member the Owner of the workspace, first promote them to Admin (if they aren't already), then contact support or use your account settings to initiate an ownership transfer. Only the current Owner can initiate this. After the transfer, the original owner becomes an Admin.

Internal role values

For reference, the roles map to internal user_type values in the database:

Use the Admin role for team members who manage agents day-to-day (e.g. a marketing manager who edits the knowledge base). Use Member for people who only need to view conversations or test the agent in the Playground.
